Handling of Personal Information

Prosis Co., Ltd. (hereinafter referred to as “the Company”) recognizes the importance of protecting personal information and, in compliance with the Act on the Protection of Personal Information and related laws and regulations, implements the following policies and initiatives for the protection of personal information.

1. Compliance with Relevant Laws and Guidelines

The Company will comply with the Act on the Protection of Personal Information, related laws, regulations, and guidelines.

2. Acquisition of Personal Information

The Company will acquire customers’ personal information through lawful and fair means. The purposes of use and other necessary matters will be specified at the time of acquisition or announced on the Company’s website. Personal information will not be used beyond the scope of the stated purpose without the customer’s consent.

3. Use of Personal Information

Personal information provided to the Company will be used for the following purposes. If the Company intends to collect or use personal information beyond the scope listed below, the customer will be notified in advance and their intentions confirmed.

The Company will use customers’ personal information and retained personal data for the following purposes:

  1. Real estate sales, leasing, agency, intermediation, management, and other related business

  2. Real estate leasing and subleasing business

  3. Entrusted management and operation of condominiums and rental properties

  4. Real estate consulting business

  5. Financial services secured by real estate, securities, etc., including intermediation or guarantees thereof

  6. Implementation of various procedures related to contracts and transactions before and after execution

  7. Marketing activities through postal mail, email, telephone, etc.

  8. Market research, customer trend analysis, product and sales method development, and other research and analysis

  9. Planning and production of various events related to the Company’s business

  10. Responding to inquiries and opinions

  11. Provision and improvement of products and services offered by the Company

  12. Implementation of maintenance services provided by the Company

  13. Provision of personal information to third parties, with customer consent or as required by law, within the necessary scope to achieve the above purposes

4. Provision of Personal Information to Third Parties

Customers’ personal information may be provided to third parties in writing, by mail, telephone, internet, email, information systems, or advertising media, within the scope necessary to achieve the above purposes, or as required by law. Upon request from the customer, the Company will promptly cease such provision.

The following cases are not considered provision to third parties:

  1. Provision of personal information to subcontractors within the scope necessary to achieve the purposes of use

  2. Provision of personal information due to succession of business through mergers or other reasons

  3. Joint use of personal information as permitted by the Act on the Protection of Personal Information

5. Disclaimer Regarding Provision of Personal Information to Third Parties

The Company bears no responsibility in the following cases where personal information is obtained by third parties:

  1. When the user discloses personal information to third parties through the functions of the Company’s services or other means

  2. When a user is identified by information they posted in connection with use of the Company’s services

  3. When personal information is provided to and used by external sites linked from the Company’s services

  4. When information enabling identification of the user (ID, password, etc.) is obtained by someone other than the user

  5. When the Company is not at fault

The Company may create statistical data based on the provided personal information that does not identify individuals. Such statistical data may be used without any restrictions.

6. Outsourcing of Personal Information Handling

The Company may outsource the handling of personal information. In such cases, the Company will select contractors that meet sufficient levels of personal information protection and thoroughly manage and supervise them.

7. Acquisition and Use of Non-Personally Identifiable Attribute Information and Behavioral History

The Company uses cookies to protect user privacy, improve convenience, deliver advertisements, and obtain statistical data. Using cookies and technologies such as JavaScript, the Company may acquire non-personally identifiable attribute information (e.g., age, gender, occupation, residential area—only in combinations that do not identify individuals) and behavioral history on the website (e.g., accessed URLs, content viewed, browsing order).

Cookies, attribute information, and behavioral history do not include any personal information. Cookies can be rejected in browser settings; however, some functions may be restricted.

8. Procedures for Requests for Disclosure, Correction, or Suspension of Use

The Company will promptly and reasonably respond to user requests regarding notification of purposes of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, or cessation of provision to third parties (collectively, “disclosure, etc.”), after verifying the identity of the requester.

However, the Company may refuse such requests if:

  • They may harm the life, body, property, or other rights and interests of other users or third parties

  • They may significantly hinder the execution of the Company’s business

  • They would violate applicable laws and regulations

9. Changes to the “Privacy Policy”

The Company may change the “Privacy Policy” at its discretion, provided such changes do not violate applicable laws and regulations.

10. Changes to Personal Information

In principle, only the user themselves may request notification of the purposes of use, disclosure, correction, addition or deletion, suspension of use, or cessation of provision to third parties. However, disclosure may be refused in the following cases:

  1. If disclosure may harm the life, body, property, or other rights and interests of the user or a third party

  2. If disclosure may significantly hinder the proper implementation of the service

  3. If disclosure would violate other laws and regulations

If suspension of use or cessation of provision to third parties (“suspension of use, etc.”) requires significant costs or is otherwise difficult to implement, the Company may take alternative measures necessary to protect the rights and interests of users.

If special procedures for correction, addition, or deletion of personal information are stipulated by laws other than the Act on the Protection of Personal Information, such requests may not be accepted.

11. Restrictions on Acquisition of Sensitive Personal Information

In principle, the Company will not acquire personal information containing the following. However, this does not apply when such information is voluntarily provided by the user:

  1. Matters related to thoughts, beliefs, or religion

  2. Matters that may cause social discrimination, such as race, ethnicity, lineage, registered domicile (excluding prefecture of residence), physical or mental disabilities, criminal history

  3. Matters related to workers’ rights of association, collective bargaining, and other group activities

  4. Participation in demonstrations, exercise of the right to petition, or other political rights

  5. Matters related to healthcare or sexual life

12. Management of Personal Information

The Company will take necessary and appropriate security control measures at each stage of acquisition, use, and storage to prevent leakage, loss, damage, or unauthorized use of personal data.

All officers and employees will be educated to understand and share the importance of compliance with relevant laws and regulations and the need for personal information protection. The Company will continuously review and improve methods of managing personal information and provide appropriate supervision.
